How to organize events

Set up an organization, publish events and manage registrations.

  1. Create an organization

Sign in, open For organizers and choose New organization. Enter your organization name, location, description and public contact email. Organization settings also include your website and logo.

  2. Add staff and connect payments

Open organization settings from the organizer workspace. Invite staff or administrators by email. Administrators manage staff and Stripe onboarding; the organization must retain at least one administrator. Complete Stripe setup before publishing an event that collects payments.

  3. Create an event draft

Choose Create event and work through the event details, location, divisions, fees and registration questions. Enter the venue ZIP, dates and time zone carefully; the date fields specify UTC. Free agents are enabled by default for leagues and tournaments. Set the free-agent fee for each division, including zero. Set an optional roster lock; leaving it blank allows roster edits and recruitment until the event starts. Save the draft and review the preview.

  4. Publish and manage registration

From the event workspace, choose Publish event. Use the registration desk to search entries, review rosters and answers, export CSV records and offer waitlist places. Changes to registration questions apply to future entries; existing entries keep their historical questions and policies.

  5. Place players and communicate

Events accepting free agents show event-team and placement controls. Draft events also retain their team-building tools. Create event teams by choosing a captain from the pending placement list, or use eligible registered teams, then offer placements. The selected captain is automatically placed on the roster. Registered team captains, co-captains and designated event captains can browse event free agents by gender and position and invite them. Players may compare multiple invitations; accepting one closes the others and adds them only to the event roster. A new event captain must have a verified account and an eligible pending registration. Publish announcements from Event settings and monitor unresolved placements before the deadline.

  6. Manage refunds and cancellations

Under a registration, expand Roster, answers & refunds to issue an eligible refund and optionally cancel the registration. The default refund amount excludes platform fees and previous refunds. Event cancellation queues refunds excluding platform fees; unsuccessful free-agent placements do the same. Financial reporting shows confirmed refunds by receipt category. Use Schedule & results to configure fields, local game times, league game targets, pools and brackets. Generate or manually build a league schedule, review it, save the draft and publish. Amend unplayed games for rainouts; the optional notification creates an event announcement and preference-aware participant emails. Captains may agree on results; organizers can select reports, enter scores or correct results. Corrections affecting completed bracket games require explicit downstream review.
